I was thinking...

Even if we each volunteer to bring things like food, utensils, garbage bags, etc. I think there will still be costs associated with hosting this event, and I don't want Jeannie & Gary getting stuck with paying for things we might be overlooking right now. Things like renting a tent, tip for the caterer (was that included in the $9?), firewood, garbage removal, porta-potty rental, and other miscellaneous items could really add up.

I don't think it would be unreasonable to charge a $5 per person (adults) entrance fee just to cover some costs. Any extra could go to rescue.

Does anyone have thoughts/comments about this?

Also, Jeannie - we may want a tent even if the forecast isn't for rain. Last year I organized a 50-person, outdoor surprise birthday party for my mom in late July in Michigan. It was HOT HOT HOT. I rented a tent in case of rain, but it turned out to be just as valuable to protect people from the sun.

Also, other things we should make sure we have -
first aid kit(s)
bug repellent
sunscreen

I said this somewhere else as well, but at our school reunion we had to pay X amount of dollars for "registration" which helped with things like a goodie bag, dinner,and extra's.(Like within the first 3 months) Say the end of April, so if we need to make a deposit on the tent for example it could be done.
Anyone willing to Videotape this thing and maybe try and get a group photo. if we are luck to have such talented people in attendance. to do this,. Which leaves me out of volunteering :D I got one of those point and shoot camera's. Karen

I emailed the registration form to Jeannie on Monday, and she made some changes... then, as we all know, her 'puter crashed. She was going to put it up on her server... I'll call her and find out what she wants to do.

It's a word document... and I can also make a PDF as well... just let me know if you need that!
